PRIVACY NOTICE
Calderdale Metropolitan Borough Council (the Council) is responsible for handling your personal information. Our address is Town Hall, Crossley Street, Halifax, HX1 1UJ. We are registered with the Information Commissioners Office (ICO) and follow UK Data Protection laws to keep your information safe.
This privacy notice explains how your information will be used when applying for a NFM or Priority Actions grant, either directly or via a third party.
Types of information we will collect
The following personal information will be collected:
- Name of grant applicant
- Contact details of the grant applicant(s) (email, address, phone number)
- Location of the land proposed in the grant application (which may be different from your home address)
- Bank details
Why we collect and hold this information
Your personal information is processed to:
- assess your NFM grant application and verify your eligibility
- maintain accurate records of your name and contact details
- contact you with the outcome of your application
- administer your grant, should you be successful
- make payments
- co-ordinate the grant scheme with the funder and the grant evaluation panel
- collate statistics and to conduct research (although in this circumstance no information that could identify you as an individual will be published)
- contact you about using your project as a case study or informing you about future grant opportunities (where you have given consent)
Sharing your information
Details of all financial transactions will be shared with our finance department. If money needs to be paid back to the Council, your personal information may be shared for the purpose of debt recovery via the Council’s sundry debtor procedure. We may also share your information with our contracted enforcement agents for the collection of outstanding monies.
This authority is required by law to protect the public funds it administers. We may share information with other bodies responsible for auditing or administering public funds, and to prevent and detect fraud.
Your information will also be shared with the Environment Agency which funds the NFM grant schemes, and Yorkshire Water as members of the grant application evaluation panel.
Your personal information will not be shared with any other organisations. We will never share your information with third parties without your consent unless the law allows us to do so.
The lawful basis for the processing your data information
- Processing is necessary for the performance of a contract – GDPR Art 6(1)(b)
- Processing is necessary for the performance of a public task or in the exercise of official authority vested in the controller – GDPR Art 6(1)(e)
How long we will keep your information
For successful applications, your information will be kept for a maximum of 7 years from when the last payment on the grant is made for compliance with HMRC regulations.
For unsuccessful applications, your information will be kept 1 year from the date of the decision and destroyed, or until such time as the data is reviewed by us or removed at your request.
Your rights
Under UK GDPR, you have the right to:
- Know how we use your data
- Access your personal data
- Correct any inaccurate information
- Ask us to delete your data
- Restrict how we use your data
- Get a copy of your data in a portable format
- Object to how we use your data
- Challenge automated decisions made about you
Not all rights are absolute, and some will only apply in certain circumstances. You do not have to pay to exercise these rights. If you make a request, we will respond within one month.
